Privacy Policy
This Privacy Policy explains how Routinly ("Routinly", "we", "us") collects, uses, and protects your personal data when you use routinly.org and app.routinly.org (together, the "Service"). We process personal data in accordance with the EU General Data Protection Regulation (GDPR).
1. Data we collect
Account data. Name, email address, and password hash when you create an account; billing details when you subscribe to a paid plan (processed by our payment provider — we never store full card numbers).
Content you upload. Screen recordings, videos, audio files, and the documentation generated from them. This content may incidentally contain personal data visible in your recordings; you are responsible for what you record.
Usage data. Log data such as IP address, browser type, pages visited, and feature usage, used to operate and improve the Service.
2. How we use your data
We use your data to provide and maintain the Service, process your uploads into documentation, handle billing, respond to support requests, secure the Service against abuse, and — with your consent — send product updates. We do not sell your personal data, and we do not use your content to train AI models for other customers.
3. Legal bases
We process data on the basis of contract performance (providing the Service you signed up for), legitimate interests (security, service improvement), consent (marketing communications), and legal obligations (accounting and tax records).
4. Processing of uploaded content
Videos are processed by our AI pipeline solely to generate your documentation. Content is stored encrypted at rest and protected with row-level security. You can delete any video or SOP at any time; deletion removes the content from production systems, with backups purged on a rolling schedule within 30 days.
5. Sharing and sub-processors
We share data only with service providers who help us run Routinly — cloud hosting, payment processing, email delivery, and AI processing — under data processing agreements. We may disclose data where required by law. We never share your content with third parties for their own purposes.
6. Data retention
We keep account data for as long as your account exists. If you delete your account, we delete or anonymize your personal data within 30 days, except where retention is legally required. Uploaded content is deleted when you delete it or your account.
7. Your rights
Under the GDPR you have the right to access, rectify, erase, and port your personal data, to restrict or object to processing, and to withdraw consent at any time. To exercise any right, email privacy@routinly.org. You also have the right to lodge a complaint with your local supervisory authority.
8. International transfers
Routinly is operated from the European Union. Where data is transferred outside the EEA, we rely on adequacy decisions or Standard Contractual Clauses.
9. Changes to this policy
We may update this policy from time to time. Material changes will be announced by email or in-app notice before they take effect. Continued use of the Service after changes take effect constitutes acceptance.
